Initiate, plan, deliver, and monitor programs and events in collaboration with Yale University’s schools, affiliations, stakeholders, and alumni associations;
Develop innovative and bilingual content for Yale Center Beijing’s (YCB) events and programs;
Assist the Associate Communications Director in developing the Center’s annual report by collecting, organizing, and crafting necessary program content and media materials;
Understand and utilize traditional, digital, and social media communication methods to support product promotion through multimedia channels;
Protect and enhance Yale University’s brand and reputation in China through activities involving traditional, digital, and social media.

Create and design Chinese and English marketing and promotional materials for the Center’s stakeholders, including (but not limited to) Yale University and Yale alumni associations, covering pre-event announcements, invitations, and post-event summaries in formats such as Microsoft PowerPoint, Photoshop, and Final Cut, as well as newsletters, brochures, and reports for traditional, digital, and social media dissemination;
Assist with managing the Center’s communications workflow to ensure seamless coordination and timely publication of bilingual content on platforms such as the Center’s website, WeChat, Weibo, Xiaohongshu, Channels, and Bilibili;
Execute a comprehensive communication and marketing plan to publicize the Center’s events and programs;
File and maintain the Center’s media assets (photos, videos, etc.), as well as important records and documents.

Assist in managing the Center’s social media accounts, monitoring user activity and other metrics, with a focus on building meaningful connections with the Center’s target audience;
Collaborate with various departments at Yale University, including (but not limited to) the Yale Office of International Affairs and the Yale School of Management, to develop, design, publish, and translate content for traditional and social media, enhancing Yale University’s and its schools' brand and reputation in China.

Coordinate activities with clients/partners on programs/events planning: ranging from service pricing, quotation, negotiation, budget development and tracking, contract development, and execution;
Provide quality logistic support to implement the programs/events at the center, such as venue setup, AV setup, catering arrangement, and transportation arrangement, meeting materials preparation, and translation services.

An understanding of Yale University, its schools, programs, history and reputation; sensitivity to Yale’s communications methods and strategies; ability to create a consistent and credible voice across various media channels.

Support Financial Consultant in filing taxes; purchasing, printing, scanning, and managing Fapiaos;
Prepare, manage, and file program event agreements, invoices, Fapiaos, and payments. Prepare and review payment requests for the center’s expenses according to the Finance Management Manual;
Update and maintain program/event transactions report; complete and submit accurate weekly reports to the center's financial consultant; update and maintain program/event analysis and submit accurate monthly reports to the center's financial consultant;
File special Fapiao received from vendors & VAT Fapiao issued by the company in the system as designated by the local tax authorities. Obtain authentication notification letter by the end of each month, send it to the center's finance consultant monthly.

HR and Administrative Management
与IFC楼宇物业管理办公室合作,确保办公室设施正常运转;
处理采购事务。实施公平、公正、有竞争力的采购流程;根据需求提供成本分析,并确保采购过程公开、公正和竞争性。妥善归档办公室供应商签署的合同和协议;
管理合同以及供应商,确保公司有效运转所需的各项供给和服务。协助公司副主任制定办公室运营流程、规章制度等工具以提高运营效率;
负责实习生的招募和培训。与中心主任和副主任紧密配合,根据中心项目以及传播需求,制定有策略地实习生招募计划。负责管理实习生实习期间地培训、考勤、绩效评估、工作记录等。
Work with IFC building property management office to ensure that the office amenities are functioning properly;
Handle procurement. Implement fair, impartial, and competitive procurement processes; provide cost analysis based on the needs and ensure the process is open, fair, and competitive. File office vendors’ signed contracts and agreements properly;
Manage contracts and suppliers to ensure the supply of items and services necessary for the effective operation of the company. Assist the Deputy Director in developing office operational procedures, rules, and regulations to improve operational efficiency;
Responsible for recruiting and training interns. Work closely with the Center Director and Deputy Director to develop a strategic plan for recruiting interns based on center projects and communication needs. Manage interns' training, attendance, performance evaluations, work records, etc., during their internship period.

Communications Support

Provide support in translating and developing bilingual (Chinese and English) content for Yale Center Beijing’s internal and external communications, which include Yale Center Beijing ’s Newsletter, Weibo, WeChat (including Yale School of Management), Website, Brochure, Fact Sheet, Invitation Letters, and other required promotion materials.

Bachelor's degree or higher in Business Administration, Program Management, or Finance-related field;
1-3 years of professional working experience in Business management, Program management and Finance reporting. Understand financial and program management principles;
Prior experience working with international organizations, academic institutions or multinational companies is preferred;
Proficiency in Microsoft Excel, especially with data calculation, use of formulas, and reporting.
